Your trust means everything to us — you share some of your most personal memories when you order a song, and protecting them is a responsibility we take seriously. This Privacy Policy explains what we collect, why, and the choices you have. SoundKeeps (“SoundKeeps,” “we,” “us,” or “our”) operates the website soundkeeps.com and provides a personalised custom-song gift service. By using our website or placing an order, you agree to the practices described here.

1. Information we collect

We collect only what we need to create and deliver your order:

  • Identity & contact data — your name, email address, and (for physical items) shipping address.
  • Order & song brief — the names, relationships, memories, and preferences you provide so we can write your song. We treat this as confidential and use it solely to fulfil your order.
  • Payment data — processed securely by our payment providers (e.g. Shopify Payments, Stripe, PayPal). We never receive or store your full card details.
  • Technical & usage data — IP address, device and browser type, and pages visited, collected through cookies and similar technologies to keep the site working and improve it.

2. How we use your information

  • To create, produce, and deliver your custom song and any add-ons or keepsakes.
  • To process payments, prevent fraud, and keep your account and orders secure.
  • To send transactional messages such as order confirmations and delivery links.
  • To send marketing emails only where you have opted in — you can withdraw consent at any time via the unsubscribe link.
  • To meet legal, accounting, and regulatory obligations.

3. Legal bases for processing

Where the GDPR applies, we process your data on the basis of (a) performance of our contract with you, (b) your consent (for marketing), (c) our legitimate interests in operating and improving our business, and (d) compliance with legal obligations.

4. How we share information

We do not sell your personal information. We share it only with trusted processors who help us operate, and only as necessary:

  • Shopify — e-commerce platform and hosting.
  • Klaviyo — email delivery and order notifications.
  • Payment processors — to complete your purchase.
  • Music production tools — we use professional AI-assisted software as part of our songwriting and production workflow; only the details needed to produce your song are used.

We may also disclose information where required by law or to protect our rights.

5. International transfers

Your information may be processed in countries other than your own. Where required, we rely on appropriate safeguards for such transfers.

6. Data retention

We keep order and song data for as long as needed to provide the service, honour our guarantee, and satisfy legal or accounting requirements, after which it is deleted or anonymised. You may request earlier deletion, subject to those obligations.

Depending on where you live (including under the GDPR and CCPA), you may have the right to access, correct, delete, restrict, or port your personal data, to object to certain processing, and to opt out of marketing or the “sale” of personal information.
